Privacy Policy

This is the privacy policy of the Lake of the Woods District Hospital Foundation. It describes what we do with personal information collected through lwdhospitalfoundation.ca, and it explains which parts of the 50/50 raffle are handled by our licensed raffle vendor rather than by us.
1. Who we are
Lake of the Woods District Hospital Foundation (LWDHF) is a registered Canadian charity, Charitable Registration (BN) 13710 5243 RR0001, at 21 Sylvan Street West, Kenora, ON P9N 3W7, Ontario, Canada. We are the organisation responsible for the personal information described in this policy, except where we say otherwise.

2. The law that applies
We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario law, including Canada’s anti-spam legislation where we send email. The 50/50 raffle is conducted under a licence issued by the Alcohol and Gaming Commission of Ontario (licence # RAF1552544), and some information is retained because that licence and provincial gaming rules require it.
3. This website is not a health-services channel
This is a fundraising website. It is not a way to reach the hospital about care, appointments, test results or records, and we do not collect personal health information through it. Please do not send us medical details.
Patient health information is held by Lake of the Woods District Hospital and is governed separately by Ontario’s Personal Health Information Protection Act (PHIPA). The Foundation is a separate organisation and does not have access to hospital records.
4. What we collect
Information you give us
- Contact form: your name, email address, the topic you choose and the message you write.
- Draw reminder signup: your email address and the fact that you consented, with the date and time.
- Email and letters: whatever you choose to send us, including donation and prize-claim correspondence.
- Donations made directly to us: your name, address, the amount and the date, which we need to issue a tax receipt and to meet Canada Revenue Agency requirements.
Information collected automatically
- Server logs kept by our hosting provider: the requested address, the date and time, a truncated or full IP address, the browser user-agent and the referring page. These are used for security and to keep the site running.
- Analytics, only if you allow the analytics category in the cookie banner: which pages are viewed, how long for, approximate region, device type and how you arrived. No analytics script loads and no analytics request is sent before you allow it.
- Cookie and storage identifiers, described in the Cookie Policy.
Information stored only in your browser
If you create an account on this site, it is stored in your own browser and is never transmitted to us. It contains your display name, email address, a salted password hash, your language and low-bandwidth preferences, and the draw reminders you selected. We cannot read it, recover it or delete it for you; you can delete it yourself at any time from the account page or by clearing site data in your browser. 5. Ticket purchases and membership are handled by Raffle Nexus
Tickets, membership subscriptions, payments, ticket numbers, the draw and prize administration all take place on the platform operated by Raffle Nexus Canada Inc. — an AGCO-approved electronic raffle system. When you follow a Buy Tickets link you leave this website.
Raffle Nexus Canada Inc. acts as a separate controller of the information you give it, which includes your name, contact details, payment information and geolocation data used to confirm you are in Ontario (Ontario geofencing). Its own privacy policy governs that information; it is published on its website at rafflenexus.com and on the ticket checkout at lwdhf5050.ca. This website never handles or stores card details.
As the licensee, we receive from the vendor the information we need to run the raffle and to meet the conditions of our licence: purchaser and winner contact details, ticket numbers and draw records.
6. Why we use personal information, and on what basis

7. We do not sell, rent or trade personal information
The Foundation does not sell, rent or trade personal information to supporters or to any other organisation, for any purpose, at any price. We do not build advertising profiles and we do not share supporter lists.
8. Publishing winners
Under the Rules of Play, a winner consents to publication of their name and/or photograph by the licensee. In practice we publish an initial and a surname together with the winning ticket number and the prize amount, once identity and purchase have been verified. Winning ticket numbers are published on our social media channels immediately after a draw.
If you have won and would like to discuss what is published, write to privacy@lwdhospitalfoundation.ca before your prize is paid.
9. Who else may see personal information
We use service providers who process information on our behalf and only on our instructions:
- Website hosting and content delivery — serves the pages and keeps server logs.
- Raffle platform — Raffle Nexus Canada Inc., as described above.
- Email delivery — sends replies, confirmations and draw reminders.
- Analytics — measures site usage, only where you have allowed it.
- Donation platforms — process gifts and issue receipts under their own terms.
- Professional advisers and auditors — where they need access to do their work.
We also disclose personal information where the law requires it, including to the Alcohol and Gaming Commission of Ontario in connection with our licence, to the Canada Revenue Agency, or in response to a valid legal demand.
10. Information held outside Canada
Some of our service providers store or process information outside Canada, including in the United States and the European Union. While information is in another country it may be accessible to the courts, law enforcement and national security authorities of that country under its own laws. We choose providers that offer a comparable level of protection and we bind them by contract. To ask which providers are used and where, write to privacy@lwdhospitalfoundation.ca.
11. How long we keep information
- Contact form messages and correspondence: up to 24 months after the matter is closed.
- Draw reminder subscriptions: until you unsubscribe, plus a record of the unsubscribe so we do not contact you again.
- Donation and tax receipt records: as long as the Canada Revenue Agency requires, currently a minimum of six years.
- Raffle and prize records: for the period required by the conditions of our AGCO licence and applicable gaming rules.
- Server logs: normally up to 12 months.
- Analytics data: up to 14 months.
12. How we protect information
The site is served over HTTPS. Access to Foundation records is limited to the small number of staff and directors who need it. Payment information is never handled by this website. Passwords for the browser-based site account are stored only as a salted hash, and that store never leaves your device.
No safeguard is perfect. If a breach creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as PIPEDA requires.
13. Your rights
You may:
- Ask what we hold about you and request a copy.
- Ask us to correct information that is wrong or incomplete.
- Withdraw consent at any time, subject to legal and contractual restrictions and reasonable notice. Withdrawing consent may mean we can no longer send you reminders or administer a prize claim.
- Unsubscribe from any email we send, using the link in that email.
- Complain if you are unhappy with how we have handled your information.
Write to privacy@lwdhospitalfoundation.ca. We reply within 30 days. We may need to confirm your identity before acting on a request.
If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca). Where a matter concerns information held by Lake of the Woods District Hospital rather than by the Foundation, the Information and Privacy Commissioner of Ontario (ipc.on.ca) is the relevant authority.
14. Young people
The raffle part of this website is not intended for anyone under 18, and no one under 18 may buy a ticket or enter a draw. We do not knowingly collect personal information from children. If you believe a child has sent us personal information, write to privacy@lwdhospitalfoundation.ca and we will delete it.
15. Cookies and browser storage
The Cookie Policy lists every cookie and every browser storage key this site uses, what it is for and how long it lasts, and explains how to change your choices at any time.
16. Changes to this policy
We update this policy when our practices change or when the law requires it. The date at the top shows when it was last changed. Where a change is significant we will draw attention to it on the site.
